Terms of Service
Effective June 2, 2026
These Terms of Service (“Terms”) govern your access to and use of the ChapterHub platform and the website at chapterhub.ai (together, the “Service”), provided by ChapterHub-AI LLC (“ChapterHub,” “we,” “us,” or “our”), a Kansas limited liability company. By accessing or using the Service, you agree to these Terms. If you do not agree, do not use the Service.
If your chapter or organization has signed a separate written agreement with ChapterHub (such as a Master Services Agreement or order form), that agreement governs and controls over these Terms to the extent of any conflict.
1. The Service
ChapterHub provides software that fraternity and sorority chapters and their related organizations (each a “Chapter”) use to manage alumni records, member communications, recruitment, events, dues, and related operations. We may add, change, or discontinue features over time.
2. Eligibility and accounts
You must be at least 18 years old and authorized by a Chapter to access non-public areas of the Service. You are responsible for the activity that occurs under your account and for keeping your login credentials confidential. Notify us promptly of any unauthorized use. We may suspend or terminate accounts that violate these Terms or that create risk to the Service or others.
3. Chapter responsibilities and data
A Chapter that subscribes to the Service is responsible for the information it uploads and manages, including member, alumni, and prospective-member data (“Chapter Data”). Each Chapter represents and warrants that it has the necessary rights, permissions, and lawful basis to provide Chapter Data to the Service and to have us process it on the Chapter’s behalf. As between ChapterHub and the Chapter, the Chapter owns its Chapter Data. The Chapter grants us a limited license to host, process, and use Chapter Data solely to provide and support the Service and as described in our Privacy Policy.
4. Acceptable use
You agree not to:
- Use the Service for any unlawful, harassing, deceptive, or harmful purpose;
- Send unsolicited bulk or spam communications, or violate applicable email or anti-spam laws;
- Upload information you are not authorized to share, or that infringes others’ rights;
- Attempt to gain unauthorized access to the Service, other Chapters’ data, or related systems;
- Interfere with, disrupt, scrape, or place undue load on the Service; or
- Reverse engineer or copy the Service except as permitted by law.
5. Fees and payment
Paid subscriptions are billed as described in the applicable order or plan. Unless stated otherwise, fees are non-refundable, and you are responsible for any taxes. Payment processing is handled by a third-party payment processor, and your use of payment features may be subject to that processor’s terms. We may change pricing on a going-forward basis with reasonable notice.
6. Third-party services
The Service relies on third-party providers for hosting, authentication, email delivery, file storage, and payments. Your use of the Service may also be subject to those providers’ terms, and we are not responsible for third-party services we do not control.
7. Intellectual property
ChapterHub and its licensors own all rights in the Service, including its software, design, and content (excluding Chapter Data). These Terms do not grant you any rights in the Service except the limited right to use it in accordance with these Terms. Feedback you provide about the Service may be used by us without obligation to you.
8. Disclaimers
THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE,” WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, OR STATUTORY, INCLUDING IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR SECURE, OR THAT IT WILL MEET YOUR REQUIREMENTS.
9. Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, CHAPTERHUB AND ITS OWNERS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF PROFITS, DATA, OR GOODWILL, ARISING OUT OF OR RELATED TO YOUR USE OF THE SERVICE. OUR TOTAL LIABILITY FOR ANY CLAIM RELATING TO THE SERVICE WILL NOT EXCEED THE AMOUNTS YOU PAID US FOR THE SERVICE IN THE TWELVE MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM, OR ONE HUNDRED U.S. DOLLARS ($100) IF YOU PAID NOTHING. SOME JURISDICTIONS DO NOT ALLOW CERTAIN LIMITATIONS, SO SOME OF THESE MAY NOT APPLY TO YOU.
10. Indemnification
You agree to indemnify and hold harmless ChapterHub from claims, damages, and expenses (including reasonable attorneys’ fees) arising out of your misuse of the Service, your violation of these Terms, or your violation of any law or the rights of a third party, including with respect to data you provide.
11. Term and termination
These Terms apply while you use the Service. A Chapter may stop using the Service in accordance with its agreement with us. We may suspend or terminate access for violations of these Terms or to protect the Service. On termination, the rights granted to you end, and we will handle Chapter Data as described in our agreement with the Chapter and our Privacy Policy.
12. Changes to these Terms
We may update these Terms from time to time. When we do, we will revise the “Effective” date above and, where appropriate, provide additional notice. Your continued use of the Service after an update means you accept the revised Terms.
13. Governing law
These Terms are governed by the laws of the State of Kansas, without regard to its conflict-of-laws rules. The state and federal courts located in Kansas will have exclusive jurisdiction over any dispute arising out of or relating to these Terms or the Service, and you consent to their jurisdiction and venue.
